How to draft report materials

The drafting of reporting materials is a common task for text editors at all levels.

Due to the different priorities of the superior inspection, the contents of the report are also focused. There are special reports on business work from the category, as well as political work or logistics work; from the nature of military training, there are military management education, as well as military political and ideological education or cultural propaganda, as well as vehicles, Equipment, finance, supply, etc.; from time to time, there are half a year, one year or more; from the scope, there are all teams, but also detachments, border checkpoints and so on. Generally speaking, leaders of various units pay more attention to such materials, and the requirements are also very high. It emphasizes the simplicity of the text, the short length, and the requirement to fully reflect the work situation; it emphasizes both the key points and the thoughtful and decent. It is often difficult to prepare such manuscripts. Combining years of experience in secretarial work, I feel that I have to pay special attention to the five issues.
First, don't make sense to people. Under normal circumstances, the listeners are mostly heads of higher authorities or department heads, and the reporters are the heads of lower authorities, departments or units. This difference determines that the person reporting the work must position himself and not be misplaced. It is reflected in the reporting materials that you should not give reason to the reporter. Most of the supervisors who listen to the reporters are involved in certain policy making or certain work decisions. They know more about the situation and have higher theoretical and policy levels. At the grassroots level, their main purpose is to get more information. If you always talk about the significance and theoretical basis of carrying out a certain work or implementing a certain policy, it is like giving a lecture to a leader. The misplacement that occurs in this role cannot be said by emotion. However, if the superior leadership is mainly to understand the reaction of the grassroots after the implementation of a certain policy, or to conduct research and research for the formulation of new policies, it is necessary to have the necessary theoretical thinking when reporting. However, in this case, it is best to use the tone of discussion to refine and summarize some of the views and views formed by the majority of officers and soldiers at the grassroots level in practice.
Second, it should not be all-inclusive. A superior leader goes to a unit, mostly to check a job or understand a certain situation, and is often closely related to his own division of work. Therefore, the secretarial staff or comrades who write the report materials should be based on the identity, supervisor or in charge of the leader. Work to determine the main content of the report. When drafting, the structure of the manuscript should be planned in a certain logical order, considering both the main line and the logical relationship of the whole report, and highlighting the work focus of a period or a certain aspect. If it is the main leader of the core level of the higher authorities, it should report the work of the unit or the department and the development or completion of the key tasks in the most recent period. If you are a supervisor or a leader in charge, you should focus on the work closely related to the leadership division after briefing on the overall work situation. This kind of consideration is more appropriate and convenient to control the number of words, which is conducive to saving time, so that the superiors have a more detailed and specific understanding of the things they care about while basically grasping the overall work of a unit or department. In particular, it is necessary to pay attention to the places where the leader has visited many times. Never repeat the basic situation, analysis of advantages and disadvantages, etc., which is easy to cause resentment.
Third, you don't have to go hand in hand. A region, a unit, a department, whether it is a corps office, a border defense detachment, a border checkpoint, or a border defense brigade, a police station, a workstation, etc., although there are many things involved, there are always several aspects. . A job, even the most important task at present, has different priorities in different places, departments and units. For example, the development of advanced nature education is divided into two stages. In the first half of the year, it is the detachment and above, and in the second half of the year, it is the battalion. The station is also a different content in time; for example, the national border guards carry out the "three visits and four sees" activities, the police station must go all out to go deep into the people to visit, adhere to the "four must arrive", help the vulnerable groups Etc.; the border checkpoints are mainly to carry out "four hearts and two satisfactions", and actively provide good services for passing passengers and so on. In addition, every work place and unit is not deployed at the same time and in the same way. The specific law is not exactly the same. The beginning, progress and results are definitely different. Some of the work is carried out in time, and there are some overlaps in the content. When drafting the report, how can we make progress of several different jobs or the same work in different places, truthfully, objectively and comprehensively? Accurately reflected? The key is to choose a good focus. You can introduce the results, practices, experiences, ideas, and even the next step, instead of having to list everything from the beginning to the end. That is to say, the reporting work must insist on what to say, don't use the same time to explain everything, and don't use the same criteria to measure the same job. In short, it is not necessary to go all the time, everything, and go hand in hand, which is also the key to the reporting work. Generally speaking, for the work that has been implemented for a long time and has achieved outstanding results, the focus is on the results achieved; for all the units that have made great efforts to achieve clear results, we will focus on the specific practices of this work. And the characteristics; the work that is of particular concern to the superiors and the real achievements of the locals, the deep-seated thinking is discussed in the form of experience; for some of the work just arranged, the main ideas are reported; some are not completely paved locally. Open or not do a good job, clarify the reasons, especially the subjective factors that failed to work.

Fourth, you can't use your speech. Whether it is the leading comrades reporting to the higher level, or the secretarial staff of the organization, the daily work is heavily used in the next speech. In comparison, there are fewer reports on the upper side. For this reason, the most common problem in reporting materials is the influence of habits. It is easy to consciously and unconsciously bring the analysis of the progress of a certain work in the speech, the summary of the achievements, and even the instructions and requirements of the lower level to the report. It makes people feel that the reporter is proud and self-satisfied. This is the problem that people who have long drafted the "speech draft" must first overcome when drafting the "reporting manuscript". The actual operation is also the most difficult thing. I think an effective way is for the drafters to think more about empathy. If you are going to listen to the report yourself, look at what should be reported in this regard and what you want to hear most. To clarify these, it is also "standard" the focus that should be highlighted when drafting the report materials and the "pulse" of the language that can be used. In the specific drafting, we must pay attention to the use of language, which must be vivid and accurate. It is necessary to use a large number of standardized common language, and to properly take care of local dialects. At the same time, we must fully consider the style and thinking characteristics of the reporters. Language habits, etc. But in any case, when drafting the manuscript, you should pursue a simple and vivid language style.
Fifth, there is nothing to say. Facts speak louder than words. Reporting work, as the name implies, is to report on the progress of the overall work or a certain work, major achievements and existing problems, we must pay attention to the facts, and we must speak the words. When we draft the report, we must not only explain the overall situation, but also have some fresh first-hand information. We must not only talk about the grand situation, but also use the big words, the set of words, and the empty words to deal with the errands. Drafting such materials is often time-critical and arduous. A high-quality report can be completed in a short period of time, requiring the secretarial staff to pay attention to the collection and mastery of each work progress, strengthen the accumulation of various types of dynamic work information, and possess the first-hand materials, otherwise it will write I can't figure out the clue, nowhere to write, and even the problem of "nothing to say". Therefore, secretarial staff must go to the grassroots level to understand and master the situation in actual work. At the same time, they must pay attention to browsing and even carefully reading the work instructions, the spirit of the meeting and the work plans, measures and requirements formulated by the higher authorities at different levels. Understand the work information, summaries and other information reported by the grassroots units, and always have the overall situation in the chest, the typical hand, and the facts under the pen.
