Conference work program and requirements



First, preparations before the meeting
1. Organize the meeting team to clarify the job responsibilities. Large-scale meetings also require detailed meeting work plans.
2. Issue a meeting notice. Including the name of the meeting, content, duration, time, location, and range of participants.
3. Print the meeting schedule, arrange the meeting program, and make notes.
4. Large-scale meetings are organized and group conveneres and discussion sites are proposed.
5. Large conferences must print meeting credentials. Such as attendance certificate, attendance certificate, work permit, meal permit, invitation, etc.
6. Venue layout. The layout of the venue should fully reflect the atmosphere of the meeting.

Second, the organization and service work during the meeting
1. The meeting staff will arrive at the venue one hour in advance to check the preparations of the venue.
2. Do a good job in meeting sign-up and material distribution.
3. Implement the leadership of the podium and the spokesperson.
4. Organize the participants in order from the front to the back according to the scheduled plan.
5. Maintain the order of the venue. 5 minutes before the start of the meeting, the venue door was closed, the participants were seated, and the unrelated personnel left the venue; during the meeting, the mobile phone and the bp machine were turned off, and it was generally not allowed to find someone. Unrelated personnel were not allowed to enter the venue.
6. Make a good meeting record and write a meeting briefing.
7. Organize photography.
8. Book tickets, air tickets, etc. for the participants.
Third, the meeting aftermath work
1. After the meeting, check the venue and bring back the remaining materials and visas.
2. Organize the delivery station. According to the departure time of the participants, arrange the vehicles and the station personnel in advance.
3. Do a good job of clearing, collecting, and archiving meeting files.
4. Do a good job in meeting reports.
