How to do secretarial work



As a service and information assistant who directly serves the leadership, the secretary is characterized by transactionality, comprehensiveness, dependability and service. The secretarial work can be divided into transaction services and business services in terms of content, and the two complement each other. Transaction service is the foundation, which refers to the various specific transactions encountered in the process of processing; business service is the extension and promotion of leadership services, is an abstract concept, refers to the secretarial business. Through a large number of micro-transaction services, the secretary adapts to the environment, adapts to the characteristics of the leadership and is familiar with the duties and processes of the post to do business services. In one unit, the task of leadership is decision making, guidance, organization, and coordination. The secretary’s task is to serve the leadership activities. The organizational goals determined by the leadership collective are both the goal of the leadership and the goal of the secretary. Therefore, the secretarial staff always participate in the leadership activities, but it is completely different from the leader's work. It can neither appear as a leader nor assist the leader to do a lot of work. How to position yourself and handle the relationship with leaders? According to my understanding, I think we should pay attention to the following points:
First, we must have a sense of service.
The position of the secretary determines that the nature of the secretarial work is based on service coordination. In the course of work, we must fully understand the leadership's finger diagrams, actively coordinate and cooperate with the leadership's action measures, maintain a high degree of consistency with the leaders in ideological actions, and obey the work arrangements that assist the leaders. The work arranged by the leaders should be completed in time; the leaders should be promptly reminded of the busy and negligent affairs; the policies and measures that the leaders have already arranged should be concerned about the implementation progress and implementation effects, and the problems should be reported to the leaders in a timely manner. In addition, we must keep up with the leadership in working hours. The grassroots work is busy, and the working time may exceed 8 hours. At this time, we must strictly abide by the purpose of "service". This "service" is not only for the leadership, but also for the people, no matter within 8 hours or outside, as long as it is work, take it seriously.
Second, we must coordinate various relationships: including the relationship with the leaders of the department, colleagues, the relationship with the parties, and the relationship with the relevant departments.
Coordination is one of the key points of the secretary's work. Coordinating various relationships is of great significance for carrying out work and improving work efficiency. In the process of coordination, it is necessary to treat different people, different positions, different functional departments, specific problems, and adopt different ways to strive for a harmonious and stable working environment. If you have conflicts with yourself in some respects, you must insist on being wronged and take care of the overall situation.
Third, we must master the art of directors
1. Respect for the leadership and not cater to it. Respect for leadership is the character of the secretary. How to respect, there is a question of "degree". I believe that the fundamentals of respecting leadership are to maintain the prestige of the leadership and respect the leadership from the heart; the second is to help the leadership to do a good job. In serving a number of leaders, it is necessary to proceed from the unity and prestige of maintaining leadership, to treat people equally, and to behave in a way that does not matter. 2, the service is not blindly obsessed, the first is to conscientiously comprehend, the loyal entity is now the leadership intention; the second is to properly fill the gap for the leadership. However, it should be noted that obedience is not the attachment of the human body, not the attachment of the promise. 3. Participation without intervention. If the secretary participates in decision-making, he or she must decide and handle matters within the scope of his or her own authority and within the authority granted by the leader, and make recommendations or proposals. Even if the proposed proposal or proposal is adopted, the secretary cannot think that this is in decision-making, and it is not the illusion that this is a decision-making with the leader. It can only be regarded as the service before the decision-making. 4, assisted and not self-assertion, the secretary in the process of leading the decision-making services, to handle a lot of related matters. When writing a document, you cannot add personal opinions without the consent of the leader. In particular, the leader decided the matter and could not make any further changes. If the secretary feels that it is necessary to amend it, he/she must ask the supervisor to agree. When doing business, it can only be done according to the authorization and intention of the leader. In the process of handling, according to the actual situation, some places need to change the leadership intentions, must report to the leadership to agree, and must not make their own claims. 5, the agent does not equal the authority, the secretarial staff often under the leadership authorization, the agent leader handles some daily affairs or work matters. This makes it easy for secretarial staff to create the illusion that they have the same rights as the leader. It must be understood that the agent does not equal the authority. Even if the leader is authorized to handle the matter, if there is a problem, it should be promptly requested, and report it in time. In the course of handling errors, we must patiently listen to the criticism and guidance of the leaders. The secretarial staff should be proud of the achievements of the leaders. They should exercise their thoughts and improve their own speaking and writing skills in the service of leadership. I can't attribute myself to myself, and I use the results of my work as a bargaining chip. Nor can we give superior secretary status and conditions as a proud capital. The correct mentality is: self-respect and self-reliance, modesty and prudence, attitude and embarrassment, waiting for people.
