Format and method of notification


Notification is a widely used style. Notices may be used for matters that need to be known and handled by specific agencies and personnel. However, it is not possible to abuse the notice because the notification is easy to use.

The notice can be divided into five categories: “release notice”, “transfer notice”, “issue notice”, “conference notice” and “reservation notice”. Only three types of "information notice", "conference notice", and "reservation notice" are introduced here.

1. Matter notice. When the relevant matters of the higher authorities need to be known or handled by the lower authorities, such as: celebrating a certain holiday, establishing, adjusting, merging, revoking an institution, enabling the seal, correcting the file errors, and asking the lower authorities to submit the relevant materials, etc. This notification can be used. Such notices need to clarify the matters notified, how to handle them, and what requirements are required.

2. Notice of the meeting. When a higher-level organ wants to hold a more important meeting, it is generally necessary to notify the relevant unit in advance. This is the notice of the meeting. Such notification requirements are clearly stated and specific, and the name of the meeting, the host unit, the content of the meeting, the start and end time, the participants, the meeting place, the place of registration, the materials to be carried, and other related matters are clearly stated. If these matters are unclear, it will affect the on-time convening and normal conduct of the meeting.

3. Appointment and dismissal notice. The higher-level organs shall issue appointment and dismissal matters when they are appointed or removed from the leaders of the lower-level organs or the higher-level organs. The writing of such notices is relatively simple. Generally, it is only necessary to write clearly the time, organization, meeting or file according to the appointment and dismissal, as well as the specific duties of the person who is appointed or removed.

Regardless of the type of notification, you should be aware of the following:

1. The notice generally has a title that matches the "three elements" of the title, so that when someone looks at the title, they know what to tell or what to do. Some institutions simply use the "notice" as the title. This is not exact and should be avoided as much as possible.

2. The notified unit is the main delivery unit of the file. Some notices often do not write the notified unit. This is not appropriate.

3. If the notified matter needs to be notified by the notified unit as soon as possible, you can add the word “emergency” before the “notice”. This is the common “emergency notice”.

Notification mode:

The notice is a document that is used to transfer the lower-level official documents, forward the official documents of the superior or non-affiliated organs, issue regulations, communicate the matters, and appoint and dismiss the cadres. It is the most commonly used administrative document. According to its role, it is divided into five types: release notice, transfer notice, event notice, meeting notice and appointment and dismissal notice.
